Privacy Policy

We collect only what a school needs to run on the platform. Depending on how a school uses MyScholarSchool, this can include:

• Student records — names, class placement, admission details and other information the school enters.
• Parent and guardian contact information — names, phone numbers and email addresses used for communication.
• Teacher and staff accounts — login details and role assignments.
• Attendance records — daily and session attendance marked by staff.
• Academic results and assessments — marks, grades and exam outcomes.
• Finance and payment records — fee structures, invoices and payment status.
• Messaging and notification preferences — how families choose to be contacted.
• Device and usage information — basic technical data (such as browser type and log timestamps) used to keep the service secure and reliable.

Every category above supports a specific operational purpose:

• School administration — maintaining accurate class lists, staff and student records.
• Attendance tracking — recording presence and following up on absence.
• Academic reporting — producing results, report cards and progress summaries.
• Parent communication — sending announcements, reminders and updates to guardians.
• Fee management — issuing invoices and tracking payments.
• Security and auditing — detecting misuse and maintaining an audit trail of sensitive actions.

We do not use student information to build advertising profiles, and we do not repurpose school data for anything beyond operating the service.

Because the school is the data controller, families exercising their rights (below) are normally directed first to their school, which decides how records are maintained. We support the school in fulfilling those requests.

We do not sell data to advertisers. Student, parent and school information is never traded, rented or shared for marketing.

We share data only with the trusted infrastructure providers necessary to operate the service — for example, cloud hosting, database and messaging-delivery partners. These providers process data strictly to deliver their part of the service, under contractual confidentiality and security obligations, and cannot use it for their own purposes.

We may also disclose information where we are legally required to do so, and we will act reasonably to notify the affected school where permitted.

We retain a school's data for as long as the school maintains an active account, so that historical records — past results, attendance history and finance records — remain available to them.

If a school becomes inactive or ends its subscription, its data is retained for a limited grace period so the account can be reactivated or the data exported, after which it may be scheduled for deletion. Schools can request earlier deletion of records they control, subject to any legal retention obligations that apply to educational or financial records.

Subject to the school's role as data controller and to applicable law, families may:

• Request access to the information held about their child.
• Request corrections to inaccurate or incomplete records.
• Request deletion where legally permitted and not subject to a retention requirement.
• Export school-owned data in a usable format, arranged through the school.

Requests are usually made to the school directly. Where we process on the school's behalf, we help the school respond.

We protect data with layered technical and organizational controls:

• Encryption in transit over HTTPS/TLS for all connections.
• Access controls so staff only see what their role permits.
• Multi-tenant isolation so one school cannot access another's data.
• Audit logging of sensitive administrative actions.
• Regular backups to support recovery.
